Viewing Form Submissions

From the Submissions page you can see who has been using your form and what data they submitted. You can see exactly when the form was submitted, the user’s IP address, and all data the user entered. You can view each submission individually and can export all submission information into Excel.

The various items on the Submissions page are explained below.

Submission From Date and To Date

The two date controls specify the time period for the submissions you see. The dates default to the current date and one year earlier, so you see twelve months of submission results when the Submissions page first displays. Adjust the dates if you want a shorter or longer time period.

Submitted Form Name

The Form Name dropdown box contains the name of every form that has been submitted at least once. By default the dropdown value is blank; this means the individual submission documents at the bottom of the page are from every form users have submitted. If you want to see only those submission documents for one specific form, choose the form name in the dropdown box.

Submissions Graph

The graph shows you how many submissions you’ve received over a given time period. The green bars provide a breakdown of exactly when you received the submissions, while the gold line tracks how many total forms had been submitted at a particular point in time.

When reviewing the graph pay special attention to the two different scales: the green (period) scale is on the left and the gold (cumulative) scale is on the right. In the illustration below, the gold dot is only halfway up the green bar, but the totals are the same for both: five.

Interpreting the graph we find that the first five submissions came in on the 18th. Naturally this will be the only day for which the period and cumulative totals are equal. Moving to the right the next green bar tells us that nine more submissions came in on the 19th, which bumps up our cumulative total to 14. If there are several submissions it may be difficult to determine the exact totals at a glance, so simply mouse over a green bar or the gold line, and a tooltip will show the period or cumulative total.

Other important details about the graph:

  • The graph reflects the time period you see in the two date controls.
  • The time increments along the bottom are calculated automatically to make sense for the time period you view--seven days for the weekly view, for example.
  • The green bars (period) reflect the specific form you’ve selected in the Form Name dropdown, but the gold line always reflects all form submissions.
  • Click any green bar if you want to “zoom in” to a more granular time period—for example, if you are looking at the week’s results, click any green bar to see the day’s results.
  • The <<day>>, <<week>>, <<month>> or <<year>> links above the graph are shortcuts to quickly change the date range. The graph will show you the most recent period—for example, if you click <<week>>, you’ll see a week’s worth of submissions, starting from a week ago up to the current date. The dates you see in the To Date and From Date controls also will be adjusted automatically.
  • The unlabeled << link to the far left moves the date range back. The exact behavior depends on the dates in the date controls before you click the link. If the date range is May 11th to May 15th, for example, clicking the << link will move the range back to May 7th to May 11th. Similarly, clicking the >> link slides the date range forward.

Individual Submission Documents

The Submissions area at the bottom of the page lets you see the details of each submission. A green checkmark indicates the form was submitted successfully. A yellow icon indicates the data was captured but there was an issue with the request. For example, if you set the form action property to go to a URL after the user clicks Submit but the URL is invalid, you would see a yellow icon. XML Edition users who see the yellow icon also should check the Document URI properties and make sure these are set properly.

In addition to the submission status, you see the name of the form, the submitted date and user’s IP address—all self-explanatory. The version tells you how many times you have edited the form. This is helpful if you have updated your form and need to track how many users submitted the newest version. (When you create a form the version number starts at 0 but frevvo increments the version each time you revise your form.)

The submitter’s name in most cases will be anonymous; however, if you are logged into frevvo and test a form, you’ll see your frevvo user ID.

To view a particular submission results document, click the link under the form name. Standard Edition users will see a Document Tab only; XML Edition users will see the Document Tab and a Data Tab.

  • The Document Tab shows the user’s view of the data, exactly as it looked on the form before it was submitted. This means for money controls you’ll see dollar signs, decimals and commas, for example. The Name column corresponds to the labels on your form, and the Data column shows you what the user entered in each control. This tab is view-only; you cannot edit any data shown here. Click X to exit the form.
  • The Data Tab is available in the XML Edition only and shows you the exact XML document that was generated when the form was submitted.

Submission Errors

If your submission had an error the check mark icon to the left of each submission will instead be a exclamation point icon. To view details of the error, view the particular submission results document by clicking the link under the form name. The detailed view will contain the same exclamation point icon. Hovering over that icon will show the error message cause.

Sorting Submission Results

When you mouse over a column in the Submission area you’ll see the Image:submission_tbl_dropdown.png icon. Click it and choose from several sorting and grouping options:

  • Ascending and Descending -- sorts the results in ascending or descending order, based on the column you selected.
  • Columns -- this will display checkboxes with each column name; uncheck any columns you don’t want to see.
  • Show in Groups: Uncheck this box if you are looking a grouped view and want to return to the default (non-grouped) view.

At any time as a shortcut you also can click the form heading to sort the results in ascending or descending order.

Viewing Submissions in Excel

Click the Excel Image:excel.gif icon above the graph to view the submission results in Excel. If you want the results for one particular form, select the form you want in the Form Name dropdown box before you click the icon. If you leave the Form Name blank, your spreadsheet will contain one worksheet for every form that has been submitted. The spreadsheet reflects the specific date range indicated by the two date controls; this date range will be listed in your spreadsheet.

Deleting Submissions

To delete an individual submissions document, click the Image:delete.png next to the particular document you wish to delete. You’ll see a warning message; click OK. To delete every submission, click the Image:page_delete.gif icon above the graph.
